License and Case Decision Notification Service
The Department
of Health Professions, DHP, has partnered with the Virginia
Information Providers Network, VIPNet, to offer an online alert notification
service. The License and Case Decision Notification Service allows entities
to track license updates and notice of proceedings for all health professionals
licensed in the Commonwealth of Virginia. Users create a profile of licensees
they wish to track. The Department of Health Professions’ database
is queried daily, Sunday through Friday, for changes to the health care providers’ records
that are related to licensing or disciplinary proceedings. A change in an
individual’s record within the profile prompts an alert which is sent
to the users tracking that record. The alert can come to an individual’s
PC, pager, Personal Digital Assistant (PDA), or any device that has an email
address.
Alerts that match the profile will be sent to the email address(es) specified
in the profile within 24 hours of when the profile was created. If there are
no changes to DHP‘s database that match the profile, no alert will be
sent.
A profile is created by following these three steps:
| 1. | Select Notification Criteria: Professional Occupation, Individual Licensees. |
| 2. | Select the event(s) about which to be notified: License Renewal, License Expiration and/or Notice of Board Action or Case Decision. |
| 3. | Select the notification delivery method(s): Detailed notification via e-mail and/or a short notification sent to a pager or a Personal Digital Assistant (PDA). |
The user’s profile is compared to the DHP licensee database each day, Sunday through Friday. Any changes to the status of a license in a profile will initiate an alert. Alerts can be a short message sent to a Personal Digital Assistant (PDA), cell phone, or pager. Additionally, an alert and report may be sent to a computer in HTML or CSV format. Individuals wishing to use the License and Case Decision Notification Service will need to become VIPNet Premium Service Subscribers. This service requires the signing of a Service addendum in addition to the Premium Service Subscription Agreement. Subscribers pay an annual $75 subscription fee in addition to the records fee. Subscribers will be issued a unique login ID and password that allows them to access a Web site where they may create a profile to specify which licensees they wish to track and determine which email address(es), up to six, to which they wish to have alerts sent. Being a Premium Subscriber gives users access to other Premium Services which may be previewed at www.vipnet.org/premium. All forms associated with becoming a Premium Service Subscriber must be submitted to VIPNet customer service before access is granted.
If you are a current subscriber, you merely need to complete the Service addendum and submit it to VIPNet Customer Service. Access will be granted upon receipt of the addendum.
As a Premium Service Subscriber, one can access the License and Case Decision Notification Service and create a profile by visiting either the Department of Health Profession’s Web site (www.dhp.state.va.us ) or the VIPNet Premium Services site (www.vipnet.org/premium) and selecting the License and Case Decision Notification Service.
Fees for this service are based on the number of licensees a profile contains. Monthly fees are adjusted based on the amount of licensees being actively tracked. Users are responsible for paying the larger amount should the fee increase at any time during the month. If the fees decrease, it will be adjusted the following month. The rates are outlined below:
